The client’s order management team was overwhelmed by incoming purchase orders in inconsistent formats from regional offices, partners, and distributors. Orders were processed manually, resulting in:

  • Frequent pricing mismatches, quantity errors, and SKU inconsistencies

  • Lack of transparency into order accuracy or processing performance

The organization needed an intelligent, scalable solution to eliminate manual work and reduce operational risk — all without disrupting their existing ERP environment.

danger Our Solution

GC Consulting designed and delivered a modular AI-driven automation framework fully integrated into the client’s Microsoft environment. The solution included five major components:

1. AI-Based Document Processing
We implemented Azure Form Recognizer to extract structured data (line items, quantities, pricing, shipping info) from PDFs, Excel sheets, and scanned documents. Orders received via email were automatically routed through Power Automate, which handled attachments and body parsing.

2. GPT-Powered Line Item Normalization
Unstructured or inconsistent order content — such as free-text item descriptions or repeated orders with notes like “same as last time” — was interpreted using Azure OpenAI (GPT). We developed custom prompts and logic to map this data to valid SKUs, units of measure, and product codes.

3. Real-Time Order Validation & Creation in Dynamics 365
Processed and normalized data was automatically validated against inventory, pricing, discount tiers, and tax logic using custom business rules in Dynamics 365 FO. Orders were then created in the ERP without human input.

4. Exception Management via Power Apps
We developed a Power Apps-based user interface for exception handling. Orders with low-confidence matches or missing data were automatically flagged for manual review. Superusers could correct or approve values directly, and their actions trained the underlying AI model for continuous improvement.

5. Monitoring & KPIs in Power BI
A Power BI dashboard was built to monitor key performance metrics, including processing times, error rates, confidence scores, and exception frequency. The dashboard was embedded within Dynamics 365 for real-time access.
