The firm was losing margin due to poor project visibility, inconsistent resource allocation, and manual invoicing. GC Consulting implemented Dynamics 365 Project Operations with automated workflows and forecasting, resulting in 23% better resource utilization and a 19-day acceleration in billing cycles.

Dynamics 365 Project Operations, Power Automate, Teams

We started by conducting process walkthroughs with project managers, resource planners, and finance leads to identify inefficiencies across delivery, staffing, and billing. It became clear that project overruns were linked to ad hoc tools, lack of real-time visibility, and disconnected invoicing logic.
Our team deployed Dynamics 365 Project Operations and built custom entities to reflect the client’s service models (fixed-fee, T&M, and milestone-based). Time tracking was linked directly to task completion, triggering milestone billing in Dynamics 365 Finance via Power Automate.
Forecasting dashboards were created in Power BI to provide real-time burn-down, backlog visibility, and margin-at-risk alerts. Resource utilization views highlighted under- and over-allocated staff, while AI-based scheduling suggested optimal assignments based on availability, cost rate, and skill fit.
We embedded these tools into Teams, so project leads could update status, approve timesheets, and collaborate — without needing to leave their workspace. Every change was version-controlled and logged for audit compliance.
